The Receptionist serves as the welcoming face of Chapin School, creating warm and professional first impressions for students, families, faculty, and visitors.
This role provides essential front-office support across a range of administrative functions, including greeting and directing visitors, managing incoming calls, coordinating transportation, and assisting with general clerical tasks that support the daily operations of the school.
This position reports to the Head of School and works closely with campus faculty, staff, visitors, parents, and vendors.
Must be able to successfully perform the following essential duties and other duties as may be assigned.
- Answer, screen, and direct incoming calls; transfer to voicemail as needed; provide callers with general school information including address, directions, fax numbers, and website.
- Greet, log, announce, and direct all visitors to the school.
- Coordinate and process B6T transportation forms with respective school districts; arrange bus transportation for field trips and athletic events.
- Manage incoming and outgoing mail, including express delivery services (FedEx, UPS, etc.).
- Assist with ordering, receiving, stocking, and distributing office and school supplies.
- Support general clerical functions including photocopying, filing, collating, and faxing; coordinate copier service and repairs as needed.
- Track daily attendance and student dismissal plans; provide reports to faculty and staff as needed.
- Perform additional duties as assigned by the Head of School.
